How to Build a Simple Lead Follow-Up System

A small business does not need a complicated CRM to stop losing inquiries. It needs a visible process for what happens after someone asks for help.

Start with five fields: date received, contact information, customer need, next step, and status. Every new inquiry should become a row within the same day. The status can stay simple: new, contacted, quoted, won, lost, or follow up later.

The most important field is next step. If a lead does not have a next step, it will disappear. Use specific actions such as call tomorrow, send estimate, ask for photos, confirm budget, or book consultation.

Once the manual system works, automate the intake. Website forms can add rows automatically. A simple script can categorize the request, draft a response, and create a reminder. Automation should support the process, not replace clear ownership.
